This role t plays a key role in ensuring the highest level of customer satisfaction by providing exceptional support to clients. This position involves handling enquiries, provide an efficient and effective reception and telephone service and assisting with various administrative tasks related to client accounts. The ideal candidate is a detail-oriented, proactive individual with excellent communication and organisational skills who can maintain strong client relationships.
The Role
You will assist the team by ensuring activities are completed as efficiently as possible. Tasks will include, but are not limited to:
Providing accurate information about our clients services to clients as required, both on the telephone and in person
Attending to clients and visitors in reception
Responding to enquiries from all callers
Attending to deliveries left with reception quickly and efficiently
Effectively managing the distribution of faxes and ensuring the fax machine is kept in good working order / ordering cartridges as required
Ordering train tickets
Ordering couriers
Taking payments from clients
Searching for client information as required
Archiving of documents and preparation of files for scanning
Deal professionally with clients, colleagues and other professional agencies on the telephone and in person
Accurately record messages, providing as much detail as possible and forwarding them to the appropriate person without delay
Retrieve messages left overnight and relay these to the relevant team member in good time
Make appointments, arrange meetings and maintain an up-to-date Outlook diary for team members.
Prepare the reception appointment chart daily and manage meeting room diaries
Ensure the reception area remains tidy and welcoming
