Role Overview

We have an exciting opportunity for an experienced administrator to provide efficiency and support to the Architecture & Building Surveying (ABS) team in all aspects of their work. This is an interesting and varied role on a permanent, full-time basis of 37.5 hours per week within a friendly team. The ABS team is part of the Rural & Projects division of Savills, covering a large area of the UK.The role is required to provide administrative assistance to fee earning colleagues and ensure the smooth-running of the team. 

 Key Responsibilities

  • Open, manage and close client projects on Dynamics (Savills CRM system)
  • Update fee forecasts and assist with raising monthly invoices
  • Assist with financial reports (Aged Time, Expenses and Debtors)
  • Administrative tasks including typing, editing, compiling and proof-reading documents, preparing minutes of meetings, diary management and appointment booking
  • Liaison with contractors and tenants - requesting quotes for works, sending works orders and arranging access to properties with tenants
  • Coding and monitoring contractor invoices for prompt payment
  • Monitor property compliances
  • Assist with ISO audit compliances
  • Travel and accommodation booking
  • Monitoring PPE equipment and ordering for colleagues

Key Skills

• IT skills including Word and Excel

• Good written, presentation and numerical skills are essential

• Excellent communication skills both verbally and written

• Able to work individually or as part of a team

• Punctual, reliable and enthusiastic

• Numerate and financially aware

• Excellent attention to detail and organisational skills

• Ability to multi-task and prioritise

• Pro-active, flexible and adaptable approach to work

• Experience will be an advantage however full training will be provided

Team Overview

The Rural division operates across a UK network of 37 offices and a number of estate offices from Inverness in the North to Truro in the South-West. Our services cover; architecture, building consultancy, rural planning, estate management, forestry, professional consultancy (tax, valuation, expert witness), farms and estate sales and purchasing, food and farming, renewable energy, energy brokerage, mapping and strategic projects.

This role will assist colleagues based in Newcastle, Carlisle, York, Peterborough, Telford and Chester offices.
