We are currently exclusively partnered with a fantastic business in the heart of York who are currently seeking a proactive and meticulous Executive Assistant to support the CEO and C-Suite Team. The ideal candidate will be a problem solver who is willing to go the extra mile and take full ownership of a wide range of administrative duties.

Day to Day of the role:

  • Manage professional and personal scheduling for the CEO, including agendas, mail, email, phone calls, client management, and other company logistics.
  • Prioritise inquiries and requests to facilitate the CEO’s leadership.
  • Produce complex documents, reports, presentations, and prepare information for meetings.
  • Compose and prepare internal and external correspondence while maintaining contact lists.
  • Coordinate complex scheduling and calendar management, as well as the content and flow of information to board members, internal teams, and clients.
  • Prepare and analyse information in advance to conserve the CEO’s time.
  • Manage travel logistics and activities, including accommodations, transportation, and meals.
  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of filing systems and contacts database.
  • Organise team communications and plan events, both internal and off-site.
  • Complete ad hoc projects as assigned.

Required Skills & Qualifications:

  • Previous experience of reporting directly to senior management.
  • Excellent written and verbal communication skills.
  • Strong time-management skills and the ability to organise and coordinate multiple concurrent projects.
  • Proficiency with MS Office and an aptitude for learning new software and systems.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Flexible, self-motivated, and able to work autonomously with minimal supervision.
  • Discreet with a high level of integrity and excellent judgement.
  • Resilient and determined with a can-do approach.
  • Exceptional organisational skills and the ability to prioritise a busy workload.
  • Exceptional diary management skills and experience in coordinating a hectic and fast-changing schedule.
  • Ability to interact with all levels within and outside the organisation.
  • Very high level of attention to detail.
