Medacs Healthcare is proud to be playing an integral part in delivering a new Functional Assessment Services contract on behalf of the UK Department for Work and Pensions. The contract will involve the delivery of more than 3.5 million health and disability assessments nationally over a period of 5 years.

Following several years of successfully supporting the previous Health Assessment Advisory Service, Medacs is now expanding service in our existing North England focus region supporting the regional prime provider of the new service.

Medacs Health Assessment Services has a very exciting new opportunity for an Executive Contract Assistant known internally as Client Manager.

The Client Manager plays a vital role in facilitating communication between clients and internal teams, guaranteeing that all information pertaining to contracts is effectively relayed to all relevant individuals.

This position is responsible for managing correspondence, ensuring timely responses, and clear allocation of tasks and contractual obligations, which must be fulfilled and delivered to clients within the specified timeframe.

The ideal candidate will act as a primary contact and valuable support resource for multiple clients, while also providing comprehensive contractual administrative assistance to the Health Assessment Services Senior Leadership Team. This dual responsibility emphasises the importance of both client engagement and internal collaboration in achieving the business goals.

You will be working in a flexible hybrid manner incorporating working from home and any of our Yorkshire based offices.

Here's some of the key responsibilities:

  • Act as a primary point of contact for all contractual communications and client support
  • Oversee the complete administrative management of the contractual obligation workflow, ensuring the appropriate allocation, progress tracking, completion, and timely submission of all client returns
  • Manage central incoming and outgoing client communication, including the internal distribution of information, drafting of formal correspondence, and preparing communications on behalf of the HAS SLT
  • Perform a detailed review of all clients returns to verify accuracy and consistency prior to submission
  • Provide support for both external and internal meetings by assisting in the development of agendas, preparing necessary documentation, collating and distributing supporting materials and recording and circulating minutes
  • Take full responsibility for managing the contractual calendar of events
  • Keep accurate records throughout the contract lifecycle, including obligations, terms of reference, meeting minutes, actions, and contractual plans
  • Display outstanding customer service skills
  • Exhibit strong prioritisation of workload by proactively managing tasks and offering assistance across multiple projects
  • Engage collaboratively with key internal stakeholders to gain a deep insight into their roles and skill sets
  • Create and maintain a detailed 'Guide to Stakeholders' that outlines key internal stakeholder roles, responsibilities, reporting structures, external relationships, governance schedules, and reporting requirements
  • Organise meetings, workshops and training on behalf of Senior Leadership Teams including all travel, catering, accommodation and venue booking

Essential Skills and Experience:

  • Experience of working in a pressurised role, supporting senior leaders and aiding their efficiency by taking ownership of the administrative aspects of their respective roles
  • Experience of working to short deadlines, and dealing with emerging and rapidly changing priorities
  • Confident in building and maintaining effective relationships with a wide variety of people
  • Excellent planning and organising skills
  • Document review expertise, attention to detail and accuracy
  • Ability to manage and maintain various task management platforms / tools
  • Knowledge and experience of contractual practices
  • Experience of drafting high-quality minutes
