- Communication: Serve as a primary point of contact on behalf of the CEO for communications relating to projects, HR matters and operations, including handling emails, phone calls, and correspondence.
- Meeting Preparation: Prepare information and agendas, documents, and presentations for meetings. Take detailed meeting minutes and follow up on points of action with colleagues.
- Confidential Support: Handle sensitive and confidential information with the utmost discretion.
- Travel Coordination: Plan and coordinate domestic and international travel, including flights, accommodations, and itineraries.
- Project Oversight and monitoring: Lead, manage, and track multiple projects and tasks across the organisation, ensuring projects are on schedule, within scope, and aligned with the stated organisational objectives.
- Cross-functional Collaboration: Work closely with other departments including marketing, product development and customer support, to ensure seamless execution of projects, tasks and company-wide initiatives.
- Timeline Management: Develop and maintain project timelines and key milestones, identify risks, and proactively resolve roadblocks to ensure success.
- Reporting: Regularly update the CEO on project and task statuses, KPIs, and other critical business metrics. Prepare board level reports on project progress.
- Experience: Previous experience in an executive assistant role, with additional project management experience preferred. Experience in an e-commerce, technology, or retail business would be preferred.
- Technical Skills: Proficient in project management tools (e.g., Trello, Asana), Microsoft Office Suite, and communication platforms.
- Communication: Exceptional verbal and written communication skills, with the ability to represent the CEO and the company in a professional manner.
- Problem Solving: Strong analytical and problem-solving abilities, with a results-driven mindset.
