This dual-role position combines executive-level support with project management responsibilities, requiring someone who can seamlessly balance strategic initiatives and operational tasks. The ideal candidate is a resourceful multitasker with a strong ability to prioritise, maintain confidentiality, and assist the CEO in ensuring smooth business operations and project delivery.Key Responsibilities
  • Communication: Serve as a primary point of contact on behalf of the CEO for communications relating to projects, HR matters and operations, including handling emails, phone calls, and correspondence.
  • Meeting Preparation: Prepare information and agendas, documents, and presentations for meetings. Take detailed meeting minutes and follow up on points of action with colleagues.
  • Confidential Support: Handle sensitive and confidential information with the utmost discretion.
  • Travel Coordination: Plan and coordinate domestic and international travel, including flights, accommodations, and itineraries.
  • Project Oversight and monitoring: Lead, manage, and track multiple projects and tasks across the organisation, ensuring projects are on schedule, within scope, and aligned with the stated organisational objectives.
  • Cross-functional Collaboration: Work closely with other departments including marketing, product development and customer support, to ensure seamless execution of projects, tasks and company-wide initiatives.
  • Timeline Management: Develop and maintain project timelines and key milestones, identify risks, and proactively resolve roadblocks to ensure success.
  • Reporting: Regularly update the CEO on project and task statuses, KPIs, and other critical business metrics. Prepare board level reports on project progress.
Your Skills and Experience: What We're Looking For
  • Experience: Previous experience in an executive assistant role, with additional project management experience preferred. Experience in an e-commerce, technology, or retail business would be preferred.
  • Technical Skills: Proficient in project management tools (e.g., Trello, Asana), Microsoft Office Suite, and communication platforms.
  • Communication: Exceptional verbal and written communication skills, with the ability to represent the CEO and the company in a professional manner.
  • Problem Solving: Strong analytical and problem-solving abilities, with a results-driven mindset.
  • Time Management: Excellent organizational and time-management skills, with the ability to handle multiple priorities and meet deadlines under pressure.
  • Adaptability: Ability to thrive in a fast-paced, dynamic environment and manage evolving priorities.
  • Stakeholder management: Comfortable holding the most senior of stakeholders to account for their commitments to project deliverables, and capable of resolving issues without the need for escalation.
  • Detail-Oriented: Meticulous attention to detail in managing the CEO’s communications and project deliverables.
  • Proactive: Anticipates the needs of the CEO and takes initiative in managing priorities and projects.
  • Flexible: Willingness to accommodate the changing demands of an entrepreneurial and growing business.
  • Confidentiality: Trustworthy and able to handle sensitive information discreetly.
  • Collaborative: A team player who can build strong relationships across the organisation.
