Accountancy Recruit is partnering with a small, family run commercial property business in the recruitment of a Financial Controller, based in Abingdon. The purpose of the role is to manage the finance and office functions, working closely with the Bookkeeper and reporting to the Managing Director.
Duties include -
- Financial Reporting:Prepare and analyse, quarterly, and annual financial statements.
- Budget Management:Develop and manage budgets for various properties and sites.
- Accounts Payable/Receivable:Overseeing
- Managing reconciliation: Managing reconciliation of accounts.
- Manage Payroll Processing:ensuring timely and accurate payment of salaries, and pension contributions.
- Assisting the Company Secretary:with all legal and regulatory requirements.
- Cash Flow Management:Prepare cash flow forecasts, monitor and manage cash flow.
- Property Valuations: Working with the external Surveyors to ensure that properties are valued correctly for insurance and accounting purposes. Calculating property values.
- Decision Making: Providing the correct financial information to the Managing Director and the board for key financial decisions.
- Development Appraisals: Working with the directors and external surveyors in preparing internal development appraisals for property projects.
- Working with the Managing Director: on short, medium, and long-term strategies for the business. Providing up to date financial information to the MD and other directors to inform decision making.
- Monitoring and analysing the commercial property market: particularly the out-of-town retail market.
- Risk management: Conduct risk management activities and recommend investment decisions to the directors.
- Communication with Tenants: Management of all communication with tenants on rent, service charge, and insurance transactions - resolving any associated issues.
- Service Charge Management: Preparing Service Charge budgets for the sites including calculation of apportionment of service charges to each tenant and ensuring tenants are charged accordingly. Managing of the invoicing of service charges and payment of service providers. Working with the Facilities Manager to obtain quotations for services (tarmac resurfacing, repairs etc) and monitoring and tracking expenditure against service charge budgets. Reconciling service charges received expenditure on services against service charge budgets and calculating end of year overall and apportioned balances against tenant apportionment to ensure that tenants are credited for minor underspends or charged for minor overspend. Calculating and maintaining management charges. To assist the Facilities Manager in tendering service charge contracts periodically to ensure best value.
- Compliance:Ensure compliance with all relevant payroll laws and regulations, including tax filings and reporting.
- Insurance: Providing the correct up to date information to all engaged insurance brokers to ensure all properties are insured at the correct values, that insurance is renewed on time annually and that each tenant is invoice correctly annually for their correct insurance proportions of the overall premium.
- System Management:Maintain and update systems and records.
- Reporting:Prepare and distribute payroll reports to management, including summaries of earnings, deductions, and taxes.
- Audits:Coordinate and support external audits.
- Tax Compliance:Ensure compliance with all tax regulations, including VAT, corporation tax, CGT, Commercial rates, SDLT and other taxes. Preparation and submission of VAT and Corporation Tax returns and payments and all other taxation.
- Void Rates: Calculating void rates due on empty properties,
- Managing Utilities Accounts: Managing office and site utilities accounts and transfer of accounts where tenants vacate, and new tenants take occupation. Managing meter reading records and office solar panel income.
- Audit Coordination:Coordinate with external auditors and prepare necessary documentation for audits.
- Financial Analysis:Conduct financial analysis to support decision-making and strategic planning.
- Lease Administration:Manage lease accounting, including rent rolls and correct tenant billing, accruals and deferrals.
- Software Utilisation:Managing the use of accounting software and property management systems effectively. Managing data held on the company server.
- Team Collaboration:Work closely with the internal facilities management and internal surveyor, leasing agents, rent review agents and other team members to ensure financial accuracy and efficiency.
- Office maintenance: Coordinating servicing of the office lift, air conditioning/heating system and solar panels.
- Management of reception duties: Ensuring that all visitors to the office are greeted and that all office front door intercom enquiries are dealt with including any relating to CCTV, car parking and other site related matters relating to the Retail Park and dealing with these personally where necessary. Ensuring all telephone calls into the office are answered promptly and that queries are dealt with punctually, politely and efficiently.
- Administration:Ensuring that the company address book, Pending File and office diary are continually maintained and that all Pending File entries are acted on that day and that all post is dealt with fully as soon as it arrives.
- Health and Safety: Managing all Health and Safety in the office and for the company sites with the assistance of the Facilities Manager and our in-house surveyor (other than construction related Health and Safety).
Requirements
- Fully Qualified ACA, CIMA, ACCA or equivalent
- Minimum of 3 years of accounting experience, preferably with experience in property related matters / commercial property
- Strong knowledge of accounting principles, financial reporting, and tax regulations
- Proficiency in accounting software (Xero or equivalent) and MS Office Suite
- Honest and reliable
- Excellent analytical, organisational, and communication skills
- Good interpersonal skills, approachable, easy-going, friendly helpful and collaborative disposition with a sense of humour
Remuneration
- Salary £70,000 pa
- Bonus: 15% performance-based bonus (equates to 0.5% net profit)
- Holidays: 25 days holiday plus bank holidays
- Hours: 39 per week. Monday to Friday: 8.30 to 5.00 pm (1/2-hour lunch). Finish at 4.00 pm on Fridays
