Job Title: Administrator/Paralegal - Wills and ProbateLocation: BarnsleySalary: £23,000 - £25,000Key Responsibilities:For this role, you will play a vital role in providing administrative support to Partners within the firm, ensuring the smooth running of legal operations. Your day-to-day tasks will include:Dictation and Document Transcription: Take dictation from Partners and accurately transcribe both handwritten and audio-based legal documentation, ensuring that all documents are created in a timely and efficient manner. Drafting Legal Documents: Prepare and type legal documentation such as letters, contracts, and agreements, following instructions from the Partners. This includes both written and audio instructions, ensuring accuracy and adherence to legal standards. Statement Taking and Verification: Take statements from clients or witnesses, checking for accuracy and ensuring the information is properly recorded. You will also be responsible for reviewing and verifying these statements. Medical Record Analysis: In cases where medical records are involved, you will be required to review, analyze, and summarize the relevant information, providing necessary details for legal proceedings. Correspondence and Communication Management: Efficiently manage incoming and outgoing correspondence via email, telephone, and traditional mail. You will be the first point of contact for clients and external parties, ensuring all communications are handled professionally and promptly. Client Liaison: Maintain regular communication with clients, ensuring their inquiries are addressed and keeping them informed about the progress of their cases via phone, email, or letter. Call Screening: Screen incoming calls to the department, redirecting them appropriately, or taking accurate messages to ensure no details are missed. Filing and Document Organization: Maintain an organized and accurate filing system for both digital and physical documents. Ensure that all files are stored securely and can be easily accessed when needed. Diary and Appointment Management: Oversee diary management for the legal team, scheduling meetings, appointments, and coordinating calendars to ensure all events run smoothly. General Administrative Support: Provide general administrative assistance across the department, including preparing reports, assisting with case management, and other tasks as required. Court Bundle Preparation: Prepare comprehensive court bundles, ensuring that all relevant documents are compiled, organized, and ready for presentation in court proceedings. Desired Skills & Experience:To be successful in this role, we are seeking candidates who possess the following:Previous Experience: Experience working as a Legal Secretary is essential, with a preference for those who have a background in Wills & Probate or similar legal areas. Strong Typing Skills: Excellent typing speed and accuracy, with a keen eye for detail when transcribing legal documents. Proficiency in Microsoft Office: A solid understanding and practical experience using Microsoft Office packages, including Word, Excel, and Outlook.
