We are a leading construction business specializing in providing comprehensive fire safety solutions, including fire door installations for multi-million-pound construction projects across London. We are currently seeking a highly organized and motivated Office Administrator to join our dynamic team based in SE London/Kent. This role is perfect for someone with a keen eye for detail, excellent communication skills, and the ability to manage multiple tasks in a fast-paced, deadline-driven environment.

Key Responsibilities:

  • Provide administrative support to the project management team and senior leadership.
  • Maintain and update project documentation, ensuring compliance with fire safety regulations.
  • Handle incoming phone calls, emails, and general inquiries, responding in a timely and professional manner.
  • Schedule meetings, coordinate appointments, and manage calendars for the team.
  • Assist with preparing project quotes, proposals, and tenders related to fire door installation and other fire safety services.
  • Process orders and manage inventory for fire safety equipment and materials.
  • Coordinate with contractors, suppliers, and clients to ensure smooth project execution.
  • Track project timelines, deadlines, and milestones, providing updates to the team and clients.
  • Assist with invoicing, billing, and payment tracking, ensuring accuracy and timely processing.
  • Support health and safety compliance documentation and maintain accurate records.
  • General office duties including filing, photocopying, and maintaining a clean and organized office environment.

Key Requirements:

  • Proven experience in an administrative role, preferably within the construction or fire safety industry.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent communication skills, both written and verbal.
  • Proficient in MS Office (Excel, Word, Outlook), and experience with project management software is a plus.
  • Ability to work independently as well as part of a team.
  • High attention to detail and accuracy.
  • Positive attitude, proactive approach, and willingness to learn.
