Key Responsibilities:
- Provide administrative support to the project management team and senior leadership.
- Maintain and update project documentation, ensuring compliance with fire safety regulations.
- Handle incoming phone calls, emails, and general inquiries, responding in a timely and professional manner.
- Schedule meetings, coordinate appointments, and manage calendars for the team.
- Assist with preparing project quotes, proposals, and tenders related to fire door installation and other fire safety services.
- Process orders and manage inventory for fire safety equipment and materials.
- Coordinate with contractors, suppliers, and clients to ensure smooth project execution.
- Track project timelines, deadlines, and milestones, providing updates to the team and clients.
- Assist with invoicing, billing, and payment tracking, ensuring accuracy and timely processing.
- Support health and safety compliance documentation and maintain accurate records.
- General office duties including filing, photocopying, and maintaining a clean and organized office environment.
Key Requirements:
- Proven experience in an administrative role, preferably within the construction or fire safety industry.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent communication skills, both written and verbal.
- Proficient in MS Office (Excel, Word, Outlook), and experience with project management software is a plus.
