- Answer and direct incoming calls, taking messages when needed.
- Greet and manage visitors, ensuring site safety protocols are followed.
- Arrange food and refreshments for guests.
- Support travel arrangements, including flights, transfers, and hotel bookings.
- Handle incoming and outgoing post.
- Maintain stock levels of consumables (tea, coffee, cleaning supplies) and office stationery.
- Oversee contracts for items like franking machines and shredders.
- Join the Health and Safety Committee and act as a fire marshal (training provided).
- Maintain and update Health and Safety packs.
- Support the Health and Safety Manager with administrative tasks.
- Assist in planning and organising team meetings, away days, and training events.
- Manage event logistics, including venue bookings and catering.
- Organise physical and digital records.
- Assist with distributing internal communications.
- Provide general administrative support for ad hoc projects.
- Manage meeting room bookings and ensure facilities are prepared.
- Coordinate with external vendors for maintenance or repairs.
- Perform additional tasks as needed to support office operations.
- Manage relationships with service providers for facility maintenance.
- Basic understanding of office operations and administrative processes.
- Awareness of customer service principles.
- Familiarity with health and safety practices (training provided).
- Excellent organisational and multitasking abilities.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office applications and ability to learn new software.
- High attention to detail.
- Salary: £27,000 - £28,000 pa (for full time hours)
- Hours: 21/22 hours per week, over 5 days ideally, to include Tuesdays and Thursdays
