Office Manager

The Office Manager plays a crucial role in providing administrative support to ensure the business continues to uphold its reputation. The primary responsibility of this position is to oversee the smooth and efficient operation of the administrative offices while managing all related functions. This role includes supervising and coordinating a team of receptionists. Flexibility and the ability to handle shifting priorities and deadlines are essential. As the central hub of the business, the office must manage a wide range of enquiries and demands with the utmost professionalism.

Key Responsibilities:

  • Oversee the office’s daily operations as the main point of contact for colleagues, contractors, and visitors, ensuring smooth, efficient functioning
  • Delegate administrative tasks within the office team and ensure effective coordination
  • Collaborate with the Head of Operations to set objectives for your team
  • Ensure all team members manage business email accounts effectively
  • Ensure adherence to safeguarding procedures and visitor policies, including issuing visitor passes
  • Oversee the team’s handling of telephone calls, ensuring compliance
  • Manage and appraise the front-of-house administrative team through 1-2-1 evaluations
  • Lead the coordination of facility rentals and support preparations for events, projects, and functions
  • Manage transport services
  • Coordinate the distribution of weekly staff and student information notices
  • Proofread notices and letters across all communication platforms
  • Continuously review office systems to identify areas for improvement and best practices
  • Maintain regular communication with the senior leadership team and other internal departments
  • Collaborate with Executive Assistants to provide seamless administrative support
  • Follow established evacuation procedures, ensuring safety as per fire and safety training
  • Participate in relevant training, appraisal, and professional development opportunities
  • Set high standards of behaviour, serving as a positive role model for others.

Desirable Skills and Experience:

  • Proven experience in office management or a similar administrative leadership role
  • Strong leadership and team management skills, with experience in conducting appraisals and mentoring staff
  • Excellent communication skills, both written and verbal, with a professional manner
  • Strong organisational and multitasking abilities, capable of managing changing priorities and tight deadlines effectively
  • Familiarity with safeguarding procedures, visitor management systems, and health and safety regulations
  • Experience in event coordination and facility management
  • Competence in managing confidential and sensitive information with a high degree of discretion
  • Strong IT skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • A flexible and adaptable approach to work, able to thrive in a dynamic environment.
