- Prepare and format detailed and accurate quotes for customers, ensuring alignment with company policies and pricing structures.
- Collaborate with the Sales Team to customise proposals based on customer requirements.
- Update quotation templates as required, in coordination with the Head of Commercial and other relevant departments.
- Management of bid portals and the enrolment on frameworks.
- Coordinate the preparation of responses to public tenders, ensuring compliance with all requirements and deadlines.
- Liaise with internal teams to gather the necessary information and documentation for tender submissions.
- Maintain a database of past tender responses for reference and continuous improvement.
- Manage and update the quotation log and quote pipeline, agreeing priorities with the Head of Commercial and the Head of Sales.
- Update and maintain the CRM system with accurate and current customer quote information, in alignment with the sales team.
- Issue order acknowledgement documents to customers, following company policies.
- Raise order amendments, when required.
- Assist with scheduling sales meetings, preparing agendas, and taking minutes where necessary.
- Organise and maintain electronic and physical filing systems for sales-related documents.
- Issue weekly orders report.
- Filter inbound sales calls and forward opportunities to the relevant area sales manager (ASM).
- Support the sales team with travel arrangements for customers, vehicle delivery reports, and other administrative tasks as required.
- Proven experience in a commercial or administrative support role, preferably within the manufacturing industry.
- Strong organisational and time-management skills, with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in using CRM systems and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with public tender processes and documentation requirements is highly desirable, however this can be taught to the perfect candidate
