Our client are looking for a skilled and organized Dental Administrative Assistant to support the daily operations of their dental office. The ideal candidate will be responsible for performing a range of administrative and clerical tasks while providing exceptional customer service to patients. The role requires familiarity with dental terminology and procedures, as well as strong organisational and communication skills.

Key Responsibilities:
  • Front Desk Management: Greet and assist patients as they arrive, check them in, and ensure they are properly registered in the system.
  • Appointment Scheduling: Manage and schedule patient appointments, including follow-ups and cancellations. Coordinate with dental staff to optimize appointment times and patient flow.
  • Patient Records: Maintain accurate and confidential patient records, including personal information, medical history, and treatment plans.
  • Insurance and Billing: Verify patient insurance information, process insurance claims, and handle billing inquiries. Assist with payment processing and manage patient accounts.
  • Communication: Answer phone calls, emails, and other communications in a professional manner. Address patient inquiries and concerns promptly and effectively.
  • Office Supplies: Order and manage office and dental supplies inventory. Ensure the office is well-stocked and equipment is in good working condition.
  • Documentation: Prepare and manage correspondence, reports, and other documentation as needed. Assist with preparing treatment plans and patient instructions.
  • Compliance: Ensure compliance with health and safety regulations, including infection control procedures and confidentiality standards.
  • Team Support: Provide administrative support to dental staff, including coordinating meetings, preparing materials, and assisting with patient flow.
Qualifications:
  • Education: Degree level or equivalent qualification
  • Experience: Previous experience as an administrative assistant, preferably in a dental or medical setting, is highly desirable.
  • Technical Skills: Proficiency in office software (e.g., Microsoft Office Suite) and dental practice management software (e.g., Dentrix, Eaglesoft).
  • Communication: Excellent verbal and written communication skills, with a strong ability to interact professionally with patients and staff.
  • Organisational Skills: Strong organizational and time-management skills, with the ability to handle multiple tasks efficiently.
  • Attention to Detail: High level of accuracy and attention to detail in managing patient records and administrative tasks.
  • Customer Service: Proven ability to provide exceptional customer service and handle sensitive situations with professionalism and empathy.
Preferred Skills:
  • Familiarity with dental terminology, procedures, and treatment protocols.
  • Experience with medical billing and coding.
  • Knowledge of insurance processing and claims management.
