Executive Assistant
Executive Assistant. A global marketing and business development firm are looking for an Executive Assistant to join the team. The Executive Assistant will be based from the Bristol office (near Temple Meads) and will assist the COO and will be responsible for maintaining efficiency and diary management, running business errands, maintaining ongoing business files and CRM, working with internal and external stakeholders to set up client meetings and assisting with creating outgoing correspondence. The ideal Executive Assistant will be a self starter who can work in a fast paced environment, with constant changing priorities.
The Executive Assistant responsibilities:
- Executive Admin
- Diary management of calendar
- Scheduling and arranging client meetings and follow-ups
- Schedule and arrange appointments, conference calls and tradeshow attendance
- Arrange domestic and international travel itineraries and submit required expense reports, according to corporate guidelines
- Attend relevant internal/external meetings as appropriate
- Liaise with direct reports on activities and key deliverables
- Communicates and tracks the work to be completed by, but is not responsible for formal supervision of any employees
- Sales Admin
- Create proposals, documents, reports
- Assist with pipeline management in (url removed)
- Prepare sales reports, sales documents, and presentations
- Type, format and produce documents such as proposals, presentations, and standardize reports
- Compose, edit and proofread correspondence
- Assist in prioritizing work flow, including prioritization of incoming mail
- Create and edit Excel, PowerPoint presentations and Word documents
- Prepare materials for sales presentations and internal meetings
- Office Admin
- Document management, filing, scanning,
- Copy and file all documents
- Maintain filing system, including confidential documents and contracts
- Organize, plan and oversee meeting coordination, events and functions
- Liaise with direct reports on key project updates and milestones
- Assistance in the coordination of miscellaneous projects
- Answer phone, screen calls, and take messages / forward as appropriate
- Some office management, including liaising with IT and P&TM to coordinate new office-based staff and onboarding within the office
The Executive Assistant will need:
- Suitable experience in similar role
- Impeccable written and oral communication skills
- Strong sense of responsibility and ability to complete tasks with minimal supervision
- Proficient with Microsoft Office Suite of products (Teams, Planner, Excel, PowerPoint, Word)
- Experience with Salesforce
The Executive Assistant hours are 9am-6pm Monday to Friday
Based in Temple Quay
This role is temp to perm, starting on 20ph, paid weekly, PAYE
