An opportunity for a Senior Administrator has arisen with the local authorities on a 3Month contract
Pay Rate: 18.72 Per Hour (PAYE)
Location: BS1 6AL, Hybrid working pattern, minimum 2 days per week in the office.
Working Hours: 37 hours per week, Monday to Friday, 09:00 AM - 5:30 PM
Typical involvement will include:
- Coordinate large-scale meetings and VIP visits, including venue management, guest lists, liaising closely with communications colleagues to ensure appropriate media coverage
- Be the first point of contact for citizens, visitors and regional partners, especially those who work closely with directorate teams (both in the office and by email/phone)
- Provide full administrative support to the UK Mayors Networks as required,
- Managing inbox for the network, dealing with routine enquiries independently and escalating as appropriate.
- Managing the diary, liaising with offices of senior network leaders, politicians and government officials
- Managing correspondence, and liaising with officers to ensure responses are sent within required timeframes. Keeping a record of enquiries where appropriate
- Producing agendas and minutes for network meetings
- Making travel arrangements
- Booking meetings and making appropriate arrangements (room layout, refreshments)
- Ensure that all communications are appropriately dealt with, where appropriate replying on behalf of the network. Exercise judgement, initiative and discretion in sorting urgent and non-urgent communications/ correspondence, telephone calls and when dealing with items of a confidential nature
- Ensuring that documents and correspondence meet the high professional presentation standards required and systems are in place to facilitate document retrieval and record progress in relevant matters
Qualifications and Experience:
- NVQ Level II Business Administration OR Customer Service OR three years' relevant administration experience
- Previous administrative experience is advantageous.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills.
- Excellent communication skills, both written and verbal.
- Attention to detail and ability to multitask.
- Ability to work independently and as part of a team.
- Relevant administrative or office-related qualifications are a plus.
