Job Title: Service AdministratorLocation: Burgess HillSalary: £11.44phContract Type: Temp to PermWorking Hours: Monday to Friday, 07:30 - 16:30Key Objectives- Provide a welcoming reception to visitors, answering telephone calls and email queries.- Prepare the next day's work for drivers including carrying out and recording end-of-shift debriefs.- Ensure customers are contacted with issues in advance and managing their expectations.- Accurate booking of works to upload to the service desk giving the drivers as much detail as possible.- Accurate checking off completed work to assist Finance with Invoicing.- Follow best practice, ensuring a common understanding of all operational procedures and expected work behaviours across the workforce.- In addition to those responsibilities as required an in agreement with management any other duties that may need completing.- Support the General Manager and team leader on an ad-hoc basis.Key Tasks/Duties- Adherence with all relevant Health and Safety policies and procedures.- Compliance with all relevant Environmental Legislation.- Report any accidents, incidents, near misses, hazards or safety concerns or other observations to the Leadership Team and to encourage a proactive safety culture.- Provide direction and support to drivers and crews within the sweeper, tanker and CCTV divisions.- Assist Management in creating 'One Team Culture'.- Work with management team to complete operational monitoring - Safety, Wellbeing and Customer Satisfaction.- Assist with driver briefings, Toolbox talks and safety alerts.- Assist with new starter familiarisation.- Assist with monthly reports/ Applications when required.- Attend and contribute to improvement meetings as required- To contribute to team effort by accomplishing related results as needed and directed by Department Management- To carry out any other duties as deemed necessary by your Department ManagerRequirements- To communicate with all staff in a courteous and clear manner.- To have an enthusiastic and positive approach to tasks and setbacks.- To have an organised and methodical approach to tasks.- To use own initiative and self-manageprioritise own workload.- To have a Team Approach and attend contribute to meetings as required.- To be punctual in attendance & complete tasks by agreed deadlines.- Flexibility when required.- Tidy and organised workplace, tools and equipment supplied are looked after and used responsibly.- To follow all company policies & procedures including quality, environment, H&S and in staff handbook.- High levels of efficiency are achieved and bettered.- To have a good work ethic and positive approach to all tasks.- To maintain the company image as required by your role.- Train co-workers and assist in training when needed.Essential Skills- Attention to detail.- To be able to communicate and manage customers with confidence.- Enthusiastic and able to use own initiative.- Knowledge of company systems and policies.- A thorough awareness of any safety issues.- Excellent standards of verbal and written communication.- Computer Literate, able to create & maintain MS word, excel.Desired Skills- To learn and retain the necessary skills required.- The ability to work in a team as well as being self-motivated.- To adopt a flexible & positive approach to the work environment
