We are seeking two experienced Executive Personal Assistants for Bury Council to provide high-level support to Directors within our Children and Young People Service. This role is ideal for individuals who have previously supported senior leaders or possess extensive experience in diary management and administrative duties at a senior level within a dynamic office setting. This is a temporary role for the next 1 - 2 months, with the possibility of extension
Day-to-day of the role:- Manage and organise the Directors’ complex email and diary schedules to ensure efficient time management.
- Provide administrative support on smaller projects or tasks as assigned by the Directors across the service.
- Handle complaints, proactively gathering information to assist the Directors in addressing issues effectively.
- Coordinate and prepare for meetings, including logistics, documentation, and follow-up actions.
- Ensure confidentiality and discretion are maintained at all times in handling sensitive information.
- Ensure familiarisation with the Executive Directors’ commitments, current priorities and working practices so that less important issues can be deflected/diverted.
- Provide liaison function between the Chief Executive, Executive Directors and Cabinet Members.
- Effectively coordinate project work to support the delivery of a high quality service.
- Accurately, sensitively and professionally communicate instructions issued by the Executive Director/Directors to other staff to enable them to carry out tasks appropriately.
- Accurately assimilate information received and relay to the Executive Director to enable them to provide responses and make decisions.
- Be alert to new and changing developments.
- Act on initiative in terms of seeking information from officers, other authorities/organisations, and/or research on the internet to enable the Executive Director to carry out their role effectively including ensuring an appropriate response to Council and Political meetings
- Prioritise work to meet deadlines to enable the provision of support to multiple Executive Directors/Directors.
- Use own initiative to draft correspondence (letters, emails etc) including responses to Councillors and MPs for Executive Director to authorise.
- Maintain an electronic bring forward system on behalf of the Executive Director.
- Accurate document production using Microsoft Office suite of packages, using corporate templates, maintaining confidentiality as appropriate.
- Management of the Executive Director/Director’s inbox and diary commitments ensuring adequate time   allowed, filtering appointments, ensuring all relevant participants are invited and adequate preparation time.
- Arrange meetings with multiple attendees as requested to include room booking, setting up of equipment, notification of reception and any other requirements.
- Proven experience as a Personal Assistant or similar role supporting senior management.
- Strong organisational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent communication and interpersonal skills.
- Proficient in using office management software, with strong capabilities in email and diary management.
- Experience in a Children’s Service setting is advantageous but not essential.
- Ability to adapt to a fast-paced and changing environment.
