Consultancy Department Admin Assistant

Acorn by Synergie is recruiting for an experienced Administrative Assistant to join the Consultancy Department of a well-established client in Caerphilly.

Role Overview

As a Consultancy Department Admin Assistant, you will play a key role in supporting the Consultancy Team, ensuring the smooth delivery of Fire Risk Assessments and related consultancy services. You will liaise with clients, internal departments, and subcontractors while maintaining excellent customer relationships.

Key Responsibilities

  • Provide administrative support for Fire Risk Assessments and Consultancy Services

  • Act as a key point of contact between clients, internal teams, and subcontractors

  • Assist with creating action plans from fire risk assessments and promote additional services

  • Prepare and submit small quotes to clients

  • Handle subcontractor enquiries and arrange site surveys

  • Coordinate job schedules and timetables

  • Manage client bookings and liaise with Fire Safety Trainers for course delivery

  • Schedule jobs using SimPRO, issue consultancy-related documents, and manage invoicing

  • Respond to client queries via phone and email, logging and resolving any issues

  • Support internal and external stakeholders, including suppliers, sales, and technical teams

  • Receive on-site training from IT providers and existing staff

Skills & Experience Required

  • Proficiency in Microsoft Office (MSO)

  • Ability to learn and work with bespoke software (e.g., SimPRO & FCS)

  • Strong relationship-building skills with both clients and internal teams

  • Understanding of SLAs and KPIs

  • Ability to prioritise tasks, work under pressure, and remain methodical

  • Excellent communication and customer service skills

  • Punctual, polite, and a team player
