We are seeking an experienced, organised, and resourceful Personal Assistant to support a high-net-worth family.

The Personal Assistant will provide comprehensive support to ensure the smooth operation of the Directors personal, household, and logistical needs, including diary management, travel coordination, household administration, and vehicle logistics.

The successful candidate will need to demonstrate proven experience as a Personal Assistant, ideally supporting high-net-worth individuals or families. With the ability to anticipate needs in a fast-paced, constantly evolving environment, you will have exceptional multitasking skills. You will be highly flexible, proactive and eager to provide exceptional support.

Please Note: This is an ongoing part-time temporary position, requiring minimum three days a week, with additional hours as and when required and you must be willing and able to travel as needed.

Principle Responsibilities:

Diary and Event Management

  • Collaborate with key stakeholders (e.g., Chief of Staff) to maintain an accurate and detailed calendar.
  • Integrate children’s schedules, including school terms, extracurricular activities, and events.
  • Coordinate personal and medical appointments, ensuring all paperwork (e.g., insurance forms) is prepared.
  • Track important dates, arranging gifts and celebrations for special occasions.

Travel Coordination

  • Arrange all family travel, including flights, accommodation, transfers, and hire cars.
  • Ensure all travel documentation is in order, including passports, visas, and international permissions.
  • Liaise with drivers, boat captains, and other service providers to finalise travel details.

Household Management

  • Work closely with household staff to ensure smooth day-to-day operations.
  • Work alongside the Housekeeper to manage maintenance, cleaning, and service schedules for household needs.

Vehicle and Asset Management

  • Manage the maintenance, insurance, and provisioning of all vehicles.
  • Schedule repairs, services, and MOTs for all vehicle fleet.
  • Manage vehicle insurance, liaising with brokers to negotiate the best terms.
  • Handle toll systems, insurance claims, and legal documentation.
  • Oversee the sale, purchase, and registration of vehicles, including number plate changes.

Logistics and Team Support (iKART)

  • Plan and coordinate logistics for karting events across Europe, including travel, accommodation, motorhome movement and schedules.
  • Liaise with team members to ensure diaries and plans are up to date.
  • Produce Event Programme for Race weekends.

Personal Support

  • Assist in the coordination of personal events, including planning and administrative support.

The successful candidate will be able to demonstrate:

  • Exceptional organisational and multitasking skills with acute attention to detail
  • Strong communication and interpersonal abilities
  • Discretion and ability to maintain strict confidentiality
  • Competency in diary management, travel coordination, and stakeholder liaison
  • Self-starter who shows strong initiative and work ethic
  • Proficiency in handling household and vehicle logistics
  • Flexibility to travel and adapt to changing priorities
