Moxie People is supporting a well-known not for profit organisation in hiring an Executive Assistant for a 12-month fixed-term contract to cover Maternity. This role will involve providing high level PA and Administrative support to Senior Executives and Board members.

Role: Executive Assistant

Salary: 32,000 per annum

Location: Cardiff / Hybrid

Duration: 12 FTC (initially)

Start: ASAP

Key Responsibilities:

  • Provide full PA support to Senior Executives, including diary management, travel coordination, and handling emails.
  • Organise, attend, and minute Board and committee meetings, ensuring timely distribution of agendas and papers.
  • Maintain accurate records of Board activities, including minutes, resolutions, and governance documents.
  • Liaise with the Board of Directors and key external contacts, acting as the main point of contact between meetings.
  • Manage executive expenses and board members' expense claims.
  • Assist with the planning and logistics of the annual Board away day and company-wide meetings.
  • Handle sensitive issues discreetly and coordinate projects as required.
  • Support executive projects through research, drafting documents, and project management.

Key Skills:

  • Demonstrated experience in an Executive or Personal Assistant role.
  • Excellent minute-taking and diary management abilities.
  • Highly organised with strong multitasking skills.
  • Exceptional communication and attention to detail.
  • Ability to handle sensitive and confidential information with discretion.
