About Us:

SPPM Limited, based in Croydon, is a small property management company, with a large residential portfolio. We have been in the business for over twenty years, and are registered as a supplier to local government councils with whom we work together, to provide housing solutions in South London.

We are currently seeking a dedicated administrator to assist with the smooth running of our business. As Administrative Assistant, you will be responsible for supporting the Office Manager with the daily operations. This will involve tasks mainly related to property maintenance, and will also include tenant enquiries, operations and finance. The ideal candidate will have a keen attention to detail, be solution-oriented and capable of dealing with a variety of different people.

Day to Day Role:

  • Provide general administrative support to the Office Manager.
  • Keep reliable records and filing for each property/tenancy both physically and digitally.
  • Act as a tenant liaison dealing with day to day queries.
  • Handle tenant calls and correspondence in regards to maintenance and repairs.
  • Liaise with contractors and obtain quotes for repairs.
  • Schedule weekly contractor diary for maintenance and repairs, and follow up to ensure jobs are completed on time and keep track of all contractor expenses.
  • Arrange safety certificates.
  • Handle all new tenant Council Tax and Utilities accounts and update and maintain records on excel.
  • Manage meter readings at the start of new tenancies.
  • Produce and maintain Record of Conditions for ingoing tenants and dilapidation schedules for outgoing tenants.
  • Liaise with tenants to arrange routine property inspections and organise and maintain the inspection diary.
  • Maintain key cupboard, and a clean and organised office environment.

Office Administration:

  • Preparing, editing, and formatting documents, including contracts, property listings, and reports.
  • Ensuring all paperwork is completed accurately and filed in a timely manner.
  • Creating and updating spreadsheets.
  • Opening mail and answering phones.
  • Handling general office duties.

Required Skills & Qualifications:

  • Proven experience as an administrative assistant or in a similar role.
  • Excellent organisational and multitasking abilities.
  • Strong verbal and written communication skills.
  • Good IT proficiency in MS Office (Word, Excel, Outlook) and basic database management.
  • Strong attention to detail and accuracy.
  • Ability to use initiative and manage time effectively.
