My exciting client are seeking a highly organised and proactive Personal Assistant to join their team on a 12-month fixed-term contract to cover maternity leave.
The role involves supporting the Group CEO and the Managing Director. The successful candidate will handle a variety of responsibilities aimed at optimising efficiency and productivity.
Day-to-day of the role:
- Manage the Group CEO’s calendar, ensuring effective time management and scheduling meetings.
- Organise complex travel itineraries with a focus on preferences and cost-effectiveness.
- Filter incoming calls and emails, prioritising actions and keeping the Group CEO informed.
- Create and refine documents, presentations, and reports to support business activities.
- Ensure the Group CEO is fully briefed and prepared for all meetings, organising meeting materials and capturing action items.
- Build and maintain positive relationships with internal and external stakeholders, liaising on behalf of the Group CEO.
- Prioritise tasks and responsibilities according to their urgency and importance, ensuring smooth daily operations.
- Handle sensitive information with the utmost confidentiality and discretion.
- Manage day-to-day office administration, including managing service providers and facilities, and ordering stationery and equipment.
Required Skills & Qualifications:
- Minimum 2 years in a similar role, supporting at Director level.
- High standards of numeracy and literacy, ideally supported by a degree and/or relevant business or project management qualification.
- IT literacy with proficiency in MS Office including Outlook, Excel, and PowerPoint.
- Experience in building reports and presentations.
- Excellent listening, written, and verbal communication skills.
- Ability to build effective working relationships at all levels.
- Open, honest, and committed to upholding confidentiality with unwavering personal integrity.
