Kenneth Brian Associates are working with a dynamic, fun and every growing company based in Guildford, who are seeking an experienced Executive Assistant to join the business. This position requires someone who is organised, resourceful, and able to handle a variety of tasks with precision and care, both for the CEO and for the day-to-day operations of the office.

Responsibilities:

  • Managing office insurance policies, including renewals and compliance.
  • Office Subsistence: Overseeing day-to-day office supplies, services, and ensuring the office environment runs smoothly.
  • Assisting with financial tasks, including reconciling bank accounts and credit card statements.
  • Managing relationships with office suppliers and negotiating pricing/terms.
  • Keeping track of petty cash and ensuring proper records for all office-related expenses.
  • Completing a variety of other administrative tasks as needed, ensuring the office is well-maintained and runs efficiently.
  • Prioritise multiple tasks, from routine to urgent, and manage time effectively.

Key Skills and Qualifications:

  • Experience as a Personal Assistant, Executive Assistant, or Office Administrative roles which would have equipped them with the skills needed to support high-level executives.
  • Ensuring all tasks are completed thoroughly and accurately, which is critical for the smooth operation of both the CEOs office and the overall business.
  • A proactive, solutions-oriented mindset, with the ability to resolve issues quickly and efficiently.
  • Excellent verbal and written communication skills, as the role involves interaction with various stakeholders, including clients, suppliers, and employees.
  • Maintaining a proactive, collaborative, and can-do approach, even under pressure or tight deadlines.
  • Ability to work well with other employees and departments, contributing to a cohesive office environment.
  • Proficiency in Google Docs, Sheets and Calendars
