About the Role:

P4 Recruitment is hiring on behalf of Infinity Foster Care, a respected fostering agency based in Ilford. We are seeking a proactive and organised Office Administrator to ensure the smooth operation of office administration and support functions. This role requires a professional with strong administrative, organizational, IT, and communication skills to support the agency's objectives and maintain compliance with fostering regulations.

Key Responsibilities:

Customer Service:

  • Deliver efficient front-line customer service to visitors and callers.

  • Handle initial enquiries from foster carers, social workers, and other professionals.

  • Ensure all visitors to the office are hosted in a professional and welcoming manner.

Administrative Support:

  • Provide comprehensive administrative support to social workers, management, and support staff.

  • Organise and manage professional meetings, training sessions, and events, including compiling accurate meeting minutes and following up on actions.

  • Administer statutory checks for foster carers, employees, and contractors.

Office Management:

  • Maintain a clean, safe, and organised office environment, ensuring compliance with Health and Safety standards.

  • Manage procurement, budgeting, and replenishment of office supplies and facilities.

  • Liaise with external suppliers and service providers to ensure operational efficiency.

Fostering Panel Administration:

  • Organise and facilitate fostering panel meetings, ensuring all necessary documents are delivered in advance.

  • Prepare and circulate accurate meeting minutes and manage follow-up actions.

Other Duties:

  • Assist with the agency’s quarterly newsletter and ensure the timely upload of documents to OneDrive and DropBox.

  • Support health and safety checks, audits, and compliance activities within the office.

  • Act as a key point of contact for external providers and support the induction of new staff and foster carers.

Requirements:

  • Strong administrative experience in a professional setting.

  • Excellent IT skills, including proficiency in Microsoft Office.

  • Outstanding organisational and time management abilities.

  • Exceptional communication skills with a customer-focused approach.

  • Ability to handle sensitive information confidentially and professionally.

  • A clear and valid DBS check (to be completed as part of the offer process).

  • Ability to provide 5 years of continuous employment references.
