Reed Public Sector is Urgently recruiting for a temp Facilities and Relocation Manager for a prestigious Charity in North East of London The role is responsible for ensuring the new site is set-up in-line with agreed facilities processes and standards, ensuring it is legally compliant. It will act as the on-site lead for site familiarisation with staff, building systems management and facilities contract mobilisation and liaison with the main contractor.The role will also support the activities associated with the mothballing of the old site, in preparation for site sale.Key Responsibilities
  • Support the site Workplace Services team, providing advice and direction, as they become familiar with the new building and ways of working.
  • Manage relocation activities, ensuring teams are appropriately engaged and communicated with on move processes, timings etc.
  • Acting as the on-site lead for building snagging, capturing and reporting all issues to the project delivery team.
  • Oversee on-site snagging activities, liaising with the project delivery team and when required with the main contractor.
  • Oversee all building management systems and equipment, acting as the on-site superuser for all occupant issues and equipment management.
  • Deliver local inductions/familiarisation sessions with colleagues using the building for the first time.
  • Coordinate the delivery of quality, cost effective and compliant hard and soft facilities management services, in-line with Guide Dogs standard operating procedures.
  • Coordinate technical services across the site, ensuring maintenance activities, building management systems and other building controls are operating efficiently.
  • Coordinate site health & safety, ensuring compliance with statutory testing/inspection as well as ensuring Guide Dogs procedures and guidance are embedded and monitored.
  • Support the mobilisation of new hard and soft facilities management contracts.
  • Lead the mothballing activities associated with the site being vacated.
  • Administer risk assessments, method statements and safe systems of work associated with in-house and externally contracted work activities on-site
  • Maintain appropriate security standards on-site including an effective visitor management process, proactive site security audits and oversight of the access control and alarm systems.
  • Develop strong working relationships with internal and external stakeholders, including coordinating regular site meetings and effective/positive email communications.
  • Support the delivery of site energy, water, and waste carbon reduction activities, working with the Sustainability team.
  • Oversee the efficient use of space on-site, liaising with the Workplace Services management team to agree and implement changes.
  • Work as part of an on-call rota to ensure an out of hours response is always available for Workplace Services emergencies.
  • Always promote and work within Guide Dogs’ policies and codes of conduct for Safeguarding Children and Vulnerable Adults, Diversity and Data Protection.

Contract Length - 3 to 6 months with a possibility of getting extended.
