- Monitor the reporting system for absences and the diary of events, planning cover in advance wherever possible, to ensure sufficient cover is in place.
- Organise cover for absent teaching and teaching assistant staff using SIMs, utilising school staff in the first instance and supply staff when necessary.
- Liaise with absent staff daily to ensure advanced planning where possible.
- Record all known absence requests and absences on SIMS
- Liaise with external recruitment agencies to engage qualified supply staff to cover absences and temporary vacancies.
- Complete inductions for any staff through agencies on their first day and introduce our systems to ensure they are confident in going into the classroom.
- Provide all the necessary timetable and lesson information for supply and cover teachers to undertake their duties effectively.
- Maintain the administration of all absence requests and liaise with relevant senior leaders over the granting of planned absence.
- Administer any room changes that are required.
- Keep records and information accurate and up to date.
- Prepare back-to-work forms for absent members of staff
- Liaise with the CFO and external HR provider to set up wellbeing meetings in accordance with staff absence policies
- Arrange to meet absent members of staff upon return to work to establish fitness and any requirements for reasonable adjustments
What you'll need to succeed
- Previous experience in a fast paced administrative role, ideally within an educational or public sector setting.
- Proven ability to accurately record information and produce clear, concise reports and documents.
- Experience in liaising and building relationships with a variety of stakeholders, including senior leadership teams, governors, staff, and external agencies.
- Demonstrate the ability to manage multiple tasks and competing priorities effectively, with experience of coordinating meetings, managing schedules, and ensuring deadlines are met in a fast-paced environment.
