Executive Assistant to Union Officers - £21.97 per hour. The salary is equivalent to £40 000. This is an urgent post.

This is a temp to perm role, entirely office based near Kingston-Upon-Thames. (Please note the Union is soon to relocate to offices close to Kings Cross station. So you must be happy to commute to Kings Cross from August time).

The Executive Assistant provides high-level administrative and secretarial support to the National Officers. Ensuring efficient coordination of diaries, meetings and governance activities. The role requires excellent organisational skills, attention to detail, discretion and the ability to manage competing priorities effectively.

Key Responsibilities:

Support to National Officers

  • Provide administrative and governance support across National Officer remits.
  • Coordinate diaries, meetings, travel and logistics.
  • Organise and support internal/external meetings, conferences and seminars.
  • Prepare agendas, take minutes, track actions and manage records.
  • Draft and distribute correspondence, reports and circulars.
  • Respond to queries from internal and external stakeholders.
  • Maintain confidentiality and ensure effective communication across departments.
  • Support with elections and annual conference preparations.

Organisational Coordination

  • Liaise with committees, departments and external partners.
  • Act as a point of contact for National Officer-related events.
  • Maintain accurate filing systems (digital and paper-based).

Cross-Departmental Support

  • Collaborate with EAs to the General Secretary and Assistant General Secretary.
  • Respond professionally to email, phone and mail enquiries.
  • Keep up to date with union developments and political/sector issues.
  • Ensure compliance with GDPR and internal confidentiality standards.

Essential Skills and Experience

  • Minimum 2 years’ PA/secretarial experience.
  • Advanced proficiency in Microsoft Office, including SharePoint.
  • Strong organisational and multitasking skills with high attention to detail.
  • Excellent written and verbal communication.
  • Confident working independently and managing sensitive information.
  • Experience coordinating meetings, travel, and producing high-quality documentation.

This is an exciting multi-layered Executive Assistant post at an exciting Union. Soon to relocate to impressive Central London based offices.

Start date: Immediate (entirely office based)

Location: Kingston-Upon-Thames but then Kings Cross
