Legal PA - Disputes

THE OPPORTUNITY

We are partnered with an international law firm who are looking for an experienced and proactive Legal PA to join their Disputes team in Leeds. This role is ideal for a highly organised professional who thrives in a fast-paced legal environment and enjoys supporting senior stakeholders.

As a Legal PA, you will play a crucial role in ensuring the seamless operation of the team by providing high-quality administrative support to Partners and fee earners. Your responsibilities will include complex diary management, billing and matter coordination, business development support, and wider operational assistance. Collaboration with key business functions such as Finance, Risk & Compliance, and Business Development will be essential to delivering first-class support.

KEY RESPONSIBILITIES

  • Work closely with Finance teams to support fee earners with client billing, financial reporting, and matter management.
  • Assist Business Development efforts, including organising and attending events, CRM administration, updating fee earner CVs, and supporting bid and tender submissions.
  • Provide support for Client Relationship Partners (CRPs) by coordinating core team meetings, client events, and compiling client reports.
  • Manage all aspects of matter inception, ensuring correct rates, prompt preparation of engagement letters, and liaising with the Business Acceptance Unit where necessary.
  • Oversee conflict checks and Client Due Diligence processes, ensuring compliance with internal best practices.
  • Ensure effective file management, including matter closures, bill payments, and clearing client balances.
  • Manage complex diaries, forward-planning meetings and travel arrangements, and proactively resolving scheduling conflicts.
  • Ensure meeting requirements are met, including preparing materials, itineraries, and hospitality arrangements.
  • Utilise centralised administrative support services for document production and other administrative tasks, ensuring timely and accurate delivery.
  • Demonstrate technical proficiency in Microsoft Office and other relevant legal software.
  • Adhere to firm-wide risk and compliance policies, raising any concerns promptly with the appropriate teams.

SKILLS & EXPERIENCE

  • At least five years' experience in a similar role within a legal or professional services environment.
  • Strong verbal and written communication skills, with excellent attention to detail.
  • A client-focused approach, demonstrating exceptional service and professionalism.
  • High level of competency in Microsoft Office and other relevant systems.
  • Ability to work efficiently under pressure, managing multiple priorities and deadlines.
  • A team player with a collaborative approach, while also being able to work independently.
  • A flexible and adaptable mindset, committed to continuous improvement and excellence.
