We are seeking a skilled administrator to join our Children and Family Services team on a temporary basis. This role is essential for providing high-quality database support, managing referral processes, and offering clerical family responses. The ideal candidate will be flexible, cooperative, and committed to safeguarding and supporting colleagues and clients.
Day-to-day of the role:- Handle confidential matters with the utmost discretion.
- Perform database entry tasks, manage case notes, upload documents, and send correspondence within given timelines and to a high standard.
- Contact parents/carers, referrers, and other agencies as directed to clarify or seek additional information.
- Receive visitors and respond to telephone calls, emails, and other enquiries, ensuring a high level of customer care.
- Raise invoices and data entry
- Produce professional documents such as letters, reports, emails, and presentations using various software packages.
- Organise, attend, and take notes or minutes at meetings, manage travel, venue, and catering requirements.
- Coordinate a busy workload of incoming and outgoing correspondence, using initiative to resolve non-complex queries and problems.
- Develop and maintain systems to support workload tracking, ensuring team meets customer service standards.
- Produce basic statistics relating to service outputs and present brief statistical information to managers regularly.
- Maintain supplies, process orders, and check deliveries using I-procurement.
- Experience in database management and clerical support within a similar setting.
- Strong proficiency in various IT systems and software
- Excellent organisational and communication skills.
- Ability to handle confidential information with discretion.
- Capable of managing multiple tasks and maintaining high levels of accuracy.
