Service Support Assistant

We are looking for a Service Support Assistant with experience in financial administration to join our Children and Family Services team. The ideal candidate will be proficient with numbers, have a keen eye for detail, and be comfortable with IT systems, particularly Excel. This role is essential for maintaining high standards within our services and ensuring the safeguarding of children and families.

Day to Day of the role:
  • Provide database support and manage the referral process with a high level of accuracy and efficiency.
  • Apply safeguarding checks to day-to-day tasks, analysing information and highlighting concerns.
  • Undertake basic checks and data quality activities to support service programmes.
  • Maintain confidentiality and handle sensitive information appropriately.
  • Complete various administrative tasks on information management systems to a high standard and within given timescales.
  • Communicate effectively with parents/carers, referrers, and other agencies to clarify or seek additional information.
  • Provide excellent customer care when receiving visitors and responding to telephone calls, emails, and other enquiries.
  • Improve data quality in key systems, manage unique client reference numbers, and suggest actions to remedy specific issues.
  • Produce professional documents and reports using various software packages.
  • Organise and attend meetings, take notes or minutes, and manage related logistics.
  • Manage incoming and outgoing correspondence, prioritise workload, and resolve non-complex queries.
  • Produce basic statistics relating to service outputs and present brief statistical information to managers.
Required Skills & Qualifications:
  • Experience in financial administration, including payruns, invoicing, and processing financial data.
  • Ability to work to tight deadlines and through large amounts of data.
  • Proficient with numbers and strong attention to detail.
  • Excellent communication skills across various methods.
  • Team player with the ability to complete tasks independently to a high quality.
  • Good level of IT knowledge, comfortable with learning new systems, and proficient in Excel.
  • Long-term commitment to the role due to the nature of the work and training involved.
