Job Title: Treatment Coordinator

Location: Office based in Leicester, LE19

Reporting to: Operation Manager

Summary of duties:

Harbor London is a private pay community based mental health service, delivering Addiction and Mental Healthcare services to typically high net worth individuals and families, who look for effective treatment without hospital admission.

Delivered through two main brands, Harbor (One client at a time treatment) and Orchestrate Health, a private community mental health service, which uses in home care and online (blended care) to treat patients.

The Treatment Coordinator will work alongside the Senior Treatment Coordinator, to organise the seamless and effective delivery of care packages to our clients. Providing clear and comprehensive schedules of treatment, while always maintaining professional written and verbal communications.

The role demands a flexible approach, as at times schedules will need to be created or changed at short notice.

This role would suit someone with a background in mental health, however, we would also welcome applications from individuals who have worked in busy GP surgeries, dental practices, other medical settings or have finished a Psychology course.

Responsibilities:

1.To be responsible for scheduling and recording client appointments. This will include coordinating client treatment schedules, room hire, rescheduling to manage conflicts or cancellations, travel, flight, and accommodation bookings where required and liaising with associates.

2.Building effective relationships with key stakeholders, clients, and contractors to ensure continuity in the service being provided.

3.To ensure the day-to-day running of the service whilst following policies and procedures in line with CQC regulations and NICE guidelines to enable associates to provide seamless and effective service to our clients.

4.To manage the communications and record keeping in relation to client treatment plans and progress notes with relevant clinical information in line with CQC regulations and GDPR.

5.To provide administrative support to the Senior Treatment Coordinator and the Operations Manager to coordinate client treatment and consent documentation in line with GDPR regulations.

6.You will support the Senior Treatment Coordinator in ensuring our colleagues and contractors are kept up to date with new and existing assignment opportunities in an effective manner, along with sending out regular communications.

7.First port of call for our workforce scheduling, dealing with enquiries promptly and professionally.

8.Use personal judgement and initiative to develop effective and constructive solutions to challenges and obstacles in scheduling procedures. Liaise with The Senior Treatment Coordinator to ensure the designated workforce has up-to-date client information and work requirements and arrangements.

9.To liaise with clients and third parties relating to authorisation of client treatment.

10.Inputting data to the Client Tracker.

11.Participate in team meetings, training, and activities.
