Role Overview:

As our Facilities Coordinator, you'll play a vital role in ensuring our facilities run smoothly. You'll manage both hard and soft facilities services while implementing cost-effective practises. Your expertise will directly contribute to a safe, efficient, and pleasant working environment.

Key Responsibilities:

  • Deliver planned preventative maintenance for both soft and hard facilities activities while ensuring compliance with statutory regulations.
  • Coordinate service contractor visits and keep service schedules up-to-date, liaising with stakeholders effectively.
  • Conduct contractor risk assessments, site inductions, and issue work permits as necessary.
  • Manage site contracts and budgets while adhering to Service Level Agreements (SLAs).
  • Oversee clean and waste management services to maintain a tidy and safe environment.
  • Act as the administrator for the Facilities Helpdesk, ensuring prompt action on requests.
  • Prepare business justifications, specifications, and support quotations.
  • Develop risk assessments and method statements for internal activities.
  • Conduct regular safety audits and manage service report logs and statutory inspection reports.
  • Build strong relationships with suppliers and negotiate cost reductions as needed.
  • Champion continuous improvement initiatives across the site.
  • Follow all company policies, procedures, and Health & Safety practises.
  • Performs routine responsibilities with little supervision, and therefore requires the use of judgment and
  • initiative
  • Review and execute service reports to closure of all actions on facilities software, with PPM
  • Liaise with all level of the business to ensure successful communication and effective Facilities
  • Able to work overtime including weekends when required.

What We're Looking For:

  • Education: 5 GCSEs A to C, including Maths & English or equivalent.
  • Experience: Knowledge of electrical and mechanical systems, building fabric maintenance, and environmental management systems.
  • Skills: Project management experience, excellent written and communication skills, and a customer-focused approach.
  • Technical Proficiency: Familiarity with MS Office, contractor control, and AutoCAD drawing packages.
  • Flexibility: Willingness to work overtime, including weekends when required.

Preferred Qualifications

Understanding of building management systems.

  • NEBOSH General Certificate in Occupational Health and Safety
  • Management of Campus drawings using Autocad.

Local Information:

  • Reports to: Facilities Manager
  • Travel Requirement: Minimal (5%)
  • Hours of Work: 39 hours per week, Monday to Thursday (07:30 - 16:30), Friday (07:30 - 12:30)
  • Contract Type: Temporary (6 months)
  • Hourly Rate: 25.00 - 27.00
