We are currently recruiting for Maintenance and Contracts Co-ordinator to work for a company in Leighton Buzzard. The working hours are Monday-Friday, 9:00am-5:30pm (37.5 hours per week excluding 1 hour break).

This is an opportunity to be a part of a small office team who are based in Leighton Buzzard.

You will work closely with the Managing Director and Office Maintenance and Contracts Team Leader.

Duties will include:

  • General Administration support for Office Contracts Team Leader.
  • Building and developing relationships over the phone and via email with the company’s customers.
  • Processing/checking purchase orders received from customers.
  • Admin of the company’s schedule of maintenance contracts to ensure the document is up to date with relevant and accurate information.
  • Job scheduling/booking (reactive and planned works) utilising the company’s contract schedule to ensure timely booking of visits.
  • Calendar Management for Field Service Engineers.
  • Collating and checking Field Service Engineer job reports and identifying where repair quotes are required before submitting approved reports to the client.
  • Preparing basic quotes.
  • Inputting site information into risk assessment templates.
  • Collating monthly reporting information from our field service team.
  • Telephone answering, emailing, filing and other general office duties.

  • Ability to work under pressure on some occasions, balancing your workload.
  • Presentable, reliable and punctual.
  • Ability to work flexibly and as part of a team, and to use own initiative.
  • Good verbal communication skills, including a pleasant and friendly telephone manner.
  • Computer literate; Outlook, MS word, MS excel, MS Office 365, Teams.
  • Ability to pick up tasks with ease.
  • Multi-tasking skills.
  • Positive attitude.
