As an Executive Assistant, you will play a crucial role in supporting senior executives in their day-to-day activities. You will be responsible for managing schedules, coordinating meetings and travel, handling inquiries, and ensuring efficient communication within the organisation.This role sits within a team of other Executive Assistants, providing support to Executive Board members and other Directors.

Liverpool: city centre, hybrid schedule

Hours: Monday-Friday

Salary: 30-35 per annum

Type: FTC contract (12 months)

Responsibilities:

  • Acting as the primary point of contact for a named Director, providing support with travel booking, expenses, diary management, meeting room bookings, and Workday tasks.
  • Proactive management of the Executive Board Director's diary, meeting business requirements,etc
  • Resolving conflicting demands on the director's time, and planning schedules
  • Arranging business travel and accommodation for the Executive Board Director and other senior members of staff as required.
  • Acting as the primary point of contact for inquiries relating to the Executive Board Director's office.
  • Facilitating meetings for the Executive Board Director and other senior members of their team as required.
  • Event Management - Contributing towards the organisation and coordination of large-scale directorate events.
  • Developing and maintaining a base knowledge of the key business areas, keeping up to date with changes to key external partners.
  • Working as a team with other Exec Assistants to ensure appropriate cover for absences, etc.

Experience & skills:

  • Team Player: Ability to work collaboratively within a team, building strong internal relationships with colleagues and stakeholders.
  • Communication Skills: Proven written and verbal communication skills, with the ability to articulate information clearly and concisely.
  • Organisational Skills: Excellent organisational skills, with the ability to prioritise workloads, make independent decisions, and handle multiple tasks efficiently.
  • Executive Support Experience: Previous experience supporting senior leaders/directors, demonstrating good judgement in decision-making and issue escalation.
  • IT Proficiency: Competent level of IT skills with the ability to quickly learn new systems and processes.
