Our client is a global leader in the gas industry, representing over 150 members across more than 80 countries. They are seeking an Administrative Assistant to join their London-based team on a 12-month contract with high chance for temp to perm, working four days per week. This role offers the opportunity to support a dynamic team, aiding in the achievement of their goals and ensuring efficient operation. The successful candidate will have the chance to liaise with internal and external stakeholders, manage meetings, and provide project management support.

What you will do:

  • Perform general office duties such as answering phones, managing correspondence, scheduling appointments, and maintaining filing systems.
  • Inventory and management of the SharePoint site: archiving documents that are out of date, ensuring the most recent document versions are in the relevant workstream sections etc.
  • Continuously update data bases in the CRM system.
  • Prepare and/or request presentations, and other documents as required.
  • Coordinate and manage meetings, including room & flight booking, preparing agendas, and taking minutes.
  • Manage and order office supplies, ensuring adequate stock levels.
  • Provide support for project management and the Secretariat's initiatives.
  • Liaise with internal and external stakeholders to facilitate communication and collaboration.
  • Creating pre-read meeting documents (coordinate requests for information & formatting and compiling meeting packages).
  • Taking and writing minutes, distribution & updating changes.
  • Travelling twice a year to help with international conferences

What you bring:

  • Minimum of 1-2 years of administrative experience
  • Excellent organisational skills
  • Self-starter team player
  • A college administrative diploma would be preferred
  • Experience in managing databases in CRM systems
  • Proficiency in using SharePoint for document management
  • Ability to coordinate and manage meetings effectively
  • Experience in project management support
  • Strong written communication skills for minute taking

This role is a part-time role and requires a person to be in the office Monday to Thursday.
