Duties:
- Communicate with users, solicitors, and mediators to arrange mediations and manage arbitration cases.
- Raise invoices and coordinate with the Accounts team regarding payments.
- Respond to inquiries about our services with professionalism and clarity.
- Assist in organising events and visits, managing attendee lists, invitations, and reminder communications.
- Greet attendees for mediations and assist in recording minutes for Advisory Board meetings.
- Be available for early morning and late evening support during mediations when needed.
- Ensure external communications are polished and professional.
- Maintain up-to-date case information in our management systems and lists of neutrals.
- Uphold compliance with our case management processes and protocols, including data protection.
- Resolve service delivery issues and complaints promptly, always striving for improvements.
- Embody our values and demonstrate high professional standards in all interactions.
- Foster a motivated and knowledgeable team environment.
- Be adaptable to the changing needs of the organisation and take on additional duties as required.
Requirements:
- Exceptional organisational skills with the ability to manage multiple case files simultaneously.
- Proficiency in Microsoft Excel, Outlook, and Word, especially for generating reports.
- Experience with CRM software.
- Strong interpersonal skills and the ability to liaise effectively with legal professionals and the public.
- Confidence in dealing with senior members.
- A commitment to confidentiality and professionalism.
- An excellent telephone manner and strong attention to detail.
- Clear and effective communication skills.
