About the role as Document Administrator/ Quality Team Assistant/ Quality Administrator:Due to recent promotion and continued growth, we are looking for a hands-on Team Assistant/ Quality Administrator to join our Quality, Project, and Engineering team based in Central London. The role is varied and will require a high level of attention to detail, strong formatting skills, and a great can-do attitude for any new challenge cominyour way. We work in a fast-paced industry where efficiency and accuracy are keys to our success, and everyone on the team plays an equally important part in delivering our service to this high standard.

Responsibilities asDocument Administrator/ Quality Team Assistant/ Quality Administrator: This role is split between providing administrative support to the Quality Manager, Wider Team and performing General Office Administration.

Document Administrator/ Quality Team Assistant/ Quality Administrator duties:

  • Maintain and support effective file and data management systems.
  • Quality Administration including support to Management System, internal/ external audits, and action management.
  • Inputting and maintaining accurate and effective information in IT systems.
  • Assisting the Quality Team in producing and formatting reports.
  • Preparing and maintaining documentation for review within the quality team, in line with the processes and standards required.
  • Formatting and quality checking of reports.
  • Assist in the preparation of regularly scheduled reports.
  • Maintain contact lists
  • Assisting in the quality audit

Office duties and Wider Team support:

  • Organising and scheduling internal and external appointments.
  • Welcoming and providing general support to visitors
  • Planning meetings.
  • Taking detailed minutes.
  • Writing and distributing emails, correspondence memos, letters, and forms.
  • Ordering office supplies
  • Updating and maintaining office policies and procedures
  • You’ll be part of a great team, with a supportive manager, which means you’ll need to be able to work effectively with others and maintain constructive relationships within the team and across the business

Requirements as Document Administrator/ Quality Team Assistant/ Quality Administrator:To excel in this role, you should have proven experience of office administration work; preferably in a environment where strong attention to detail is key, comprehensive knowledge of all Microsoft Office programs particularly Excel Spreadsheets, and excellent organisation and communication skills (both written and spoken), amongst other essential skills.

  • Proficiency in MS Office, especially Excel.
  • Proficiency in formatting of documents.
  • Excellent organisational skills, proven ability to multitask and prioritise for multiple stakeholders.
  • Proven experience as an administrative assistant or office admin assistant
  • Attention to detail and problem-solving skills

  • Excellent written and verbal communication skills
