People Operations Assistant
  • Hourly Rate: £17.42 PAYE

We are seeking a People Operations Assistant to join our team on an ongoing temporary basis. This role is crucial for assisting with day-to-day transactional processes within People Operations (POPS), focusing on establishing and preserving strong relationships with internal colleagues, providing accurate and timely customer service, and resolving People transactions and administration queries within agreed service levels.

Day-to-day of the role:
  • Respond to and resolve tier 1 level support for all colleagues/stakeholders at all levels within the Group, ensuring stakeholders are kept updated on the status of tasks.
  • Utilise People systems effectively to access relevant data needed to resolve customer issues.
  • Manage the processing and administration of high-volume transactions using People XD.
  • Liaise internally with colleagues to deliver services that incorporate best practice and innovation.
  • Coach managers and colleagues on the use of intranet People tools and guides, and educate on People XD processes and user guides.
  • Work collaboratively to assist with the delivery of policies, procedures, and advice that meet managers’ needs.
  • Ensure accurate entry of new colleague records, transfers, benefits, and changes to existing records on the People system in accordance with contractual requirements by the required deadlines.
  • Partner with other PACT team members to maintain a customer-centric approach and build a network of contacts to collaborate with, creating, assigning, and resolving queries in accordance with operating procedures, policies, and service level agreements.
  • Champion data integrity in People XD and other People systems, ensuring adequate controls are in place to reduce errors and ensure compliance with best practice People processes.
  • Manage the document management processes within the People Operations Team, ensuring all required documentation is filed accordingly to colleague personnel records.
  • Support the People Operations Manager in the identification and implementation of continuous service improvement initiatives within People Operations, Systems & Data.
  • Update colleague records following organisational changes and ensure the scanning of documents related to restructures is completed.
  • Assist with compliance for Disclosure and Barring Service (DBS) requirements company-wide for the appointment of colleagues, including renewals.
Required Skills & Qualifications:
  • Proven experience in People Operations or a similar role.
  • Strong understanding of HR systems, preferably People XD.
  • Excellent communication and interpersonal skills.
  • Ability to work at pace and maintain a professional outlook.
  • Strong data entry skills and attention to detail.
  • Knowledge of DBS compliance and related processes.
