Job Description 
We are looking for a dedicated and highly organised School Secretary & Principal’s PA to join our well-established, family-run independent primary school in Central London. The school is conveniently located within walking distance of Marble Arch, Edgware Road and Paddington tube stations and is easily accessible from Victoria Station. As a one-form entry school, we take pride in offering a bespoke and personalised primary education for both pupils and parents. With class sizes ranging from 8 to 14 pupils and excellent behaviour throughout, this role is essential to the smooth operation of the school.


Key Responsibilities 
•    Running the school office efficiently. 
•    Providing full administrative support to the Senior Leadership Team (SLT) and the School Manager, including handling confidential matters. 
•    Upholding and promoting the school’s ethos, objectives, policies and procedures. 
•    Maintaining the Single Central Record and processing DBS checks or verifying records via the update system. 
•    Keeping the Starters & Leavers lists up to date and submitting them to the local authority. 
•    Updating the school website, including E-News, calendar entries, and menus.
Main Duties 
•    Assisting the SLT with administrative tasks and acting as a Personal Assistant to the Principal, managing confidential and sensitive matters. 
•    Coordinating the Principal's diary and scheduling appointments. 
•    Attending staff and leadership meetings as required, taking accurate minutes and distributing them as necessary. 
•    Handling parental enquiries and serving as the primary liaison between parents and the SLT. 
•    Managing administrative tasks related to pupil data, including inputting and maintaining accurate records in SIMS. 
•    Overseeing assessment and reporting data, census returns, leavers and staff details.
Confidential Administrative Support 
•    Handling correspondence and maintaining policy documents. 
•    Drafting and compiling confidential documents. 
•    Managing the Principal’s diary and scheduling appointments. 
•    Providing administrative support to the School Manager, SLT and other staff for whole-school events. 
HR Responsibilities 
•    Maintaining HR records to ensure compliance with safeguarding regulations. 
•    Supporting recruitment processes, including conducting background checks. 
•    Serving as the first point of contact for day-to-day HR queries and liaising with the Principal and Deputy Heads. 
•    Assisting with the induction process for new staff members.
IT & Systems Proficiency 
•    Proficiency in Microsoft Office Suite. 
•    Experience using SIMS (or willingness to learn a similar MIS system). 
•    Familiarity with G Suite for Education. 
•    Ability to use CPOMS for safeguarding. 
•    Basic website management skills. 
•    Willingness to learn and adapt to new software and systems as required.
