Tate are delighted to be supporting a leading Higher Educational Institution to recruit a Finance Administrator into their internationally recognised department.

Are you experienced in supporting members of staff with expense claims, setting up new suppliers, and raising purchase orders?

The Role

This role sits within the Professional Services team and works with the Finance and Research Manager to support the departmental finances and research grants.

Daily duties

  • To support the day-to-day financial processes within the department, using our clients finance systems.
  • To liaise with central teams, in relation to finance and research administration.
  • To support grant applications and administration of successful grants.

Main Duties and Responsibilities

  • Processing interdepartmental transfers in liaison with relevant staff.
  • Raising requisitions, purchase orders and invoices, and receipting goods.
  • Setting up new suppliers, acting as a liaison between the prospective suppliers and Procurement.
  • Assisting with costing and submitting internal and external grant applications, ensuring they are in line with funder guidelines, where appropriate using our clients research management platform (Worktribe).
  • Administering successful grants, including ordering equipment and booking travel and accommodation, coordinating timesheets, and recording and monitoring costs as well as ensuring purchases are eligible, within budget and correctly coded - and alerting the Finance and Research Manager of any issues.
  • Servicing the Departmental Research Committee, with support from the Finance and Research Manager.
  • Assisting the Finance and Research Manager and other staff with financial processes related to month end and year end tasks.
  • Supporting staff, students and visitors with booking accommodation and travel, and equipment purchases, using our clients preferred suppliers and platforms.
  • Supporting staff to process and monitor expense claims in line with policies and ensuring they are within budget.
  • Processing student fees, studentships and stipends using the Student Records System (Portico).
