Merrifield Consultants are delighted to be partnering with a leading Scientific Membership Organisation to recruit a Scientific Programmes Coordinator. This is a fantastic opportunity to join a prestigious organisation that plays a key role in recognising and supporting excellence in science.

As a Scientific Programmes Coordinator, you will support the planning and delivery of high-profile events and assist with the administration of a well-regarded medals and awards programme. You will work closely with internal teams and external partners, ensuring smooth event execution and excellent stakeholder engagement.

Key Responsibilities

  • Organise and support the delivery of an annual programme of scientific events and strategic meetings.
  • Draft and proofread event materials, including programmes and briefing documents.
  • Manage event invitation and registration processes, ensuring accurate records in the CRM system.
  • Coordinate logistical elements such as speaker expenses, event materials, and post-event administration.
  • Assist with the administration of the medals and awards nomination cycle, ensuring smooth coordination.
  • Provide excellent customer service by managing in-boxes, responding to queries, and supporting key stakeholders.
  • Contribute to continuous improvement initiatives and support other team projects as required.

Person Specification

  • Strong administrative and organisational skills with excellent attention to detail.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills, with a high level of professionalism.
  • Experience of working with stakeholders at all levels, both internally and externally.
  • Proficiency in Microsoft Office Suite and CRM systems.
  • Willingness to work occasional evenings as required for events.
  • Experience within a membership organisation or scientific/academic environment.
  • Knowledge of event planning and coordination.
  • Flexibility - may need to work outside of hours depending on busy needs
