Do you have experience managing events? Do you have excellent organisation, time management and communication skills? If so, Signature Recruitment is currently seeking an Events Coordinator for our client, a public art gallery in London. This is a temporary position starting shortly for four months. It is part-time for two days a week in March rising to three days a week for the balance of the assignment. There is some flexibility with hybrid working arrangements.

In this role, you will be assisting with the project management of a specific event, A Summer Party. You will be supporting the Senior Project Manager and Events Team with various tasks. These will include managing the Inbox, guest list, guest queries and other arrangements such as travel. In addition, you will collate RSVPs and ensure associated data is recorded accurately with meticulous attention to detail.

Events Coordinator Key Responsibilities:

  • Assist in the development, planning, promotion and execution of The Summer Party
  • Monitoring Events Enquires Inbox and responding effectively and efficiently and signposting as necessary
  • Organising the Guest List and dealing with guest enquires, organising travel and other arrangements as required
  • Drafting, printing and sending letters of invitation and thanks
  • Supervising RSVPs, recording as required ensuring accuracy and producing Attendance Lists
  • Undertaking other administrative duties as required in order to assist the Events Team including preparing paperwork, maintaining checklists, photocopying, dealing with post and emails

Events Coordinator Key Skills:

  • Demonstrable experience in assisting with the organisation and management of large events
  • Excellent written and verbal communication skills with the ability to communicate effectively with all stakeholders
  • Personable and proactive - with the ability to plan and prioritise work, often working on multiple tasks simultaneously but maintaining accuracy and attention to detail
  • Highly proficient IT skills including Microsoft Office applications and spreadsheets and databases
