Our client a leading charity based in West London is looking for an Executive Assistant/Office Manager to Support the CEO in an ongoing temporary role.

The ideal candidate will be available to start a new position immediately or at short notice. This role is based onsite and will offer some hybrid working.

Key Responsibilities;

  • Manage professional and personal scheduling for the CEO, including agendas, mail, email, phone calls, stakeholder management, and other company logistics.
  • Arranging dinners, social events, and public appearances on behalf of the CEO
  • To organise and schedule management meetings.
  • Communicate with Trustee Board Members, schedule Board Meetings, arrange and prepare meeting agendas, perform research for meetings.
  • Taking minutes and reporting back with actions.
  • To book business travel arrangements, transportation, and accommodation for senior management and other staff members.
  • To occasionally assist and support other colleagues in the office, as required.
  • Co-ordinate the CEO’s direct report’s 1:1s bi-monthly meetings with the CEO

Office Management ;

  • Oversee the day-to-day operations of the Offices, ensuring inventory of office supplies, IT equipment and maintaining working environment standards.
  • Manage office compliance and repairs ensuring they take place in a timely manner
  • In liaison with HR, coordinate office activities and events
  • Maintain the electronic filing system, ensuring processes are up to date and in working order.

Person Specification:

  • Educated to GCSE or equivalent/ or qualification in Business Administration/ PA diploma or certification
  • 4+ years’ experience in an administrative role reporting directly to senior management
  • Proven experience working with C-Suite levels management
  • Ability to maintain confidentiality of information related to the company and its employees
  • Proven organisational skills with the ability to priorities heavy workloads, priorities Excellent communication skills both written and verbal
  • Adaptable with flexibility to work beyond core hours
