Executive Assistant - maternity cover £55,000-£65,000 (plus excellent benefits) City of London - hybrid This is a fantastic opportunity for a highly experienced EA to support 2-4 Directors of a foundation dedicated to addressing the climate emergency. As Executive Assistant, you will be responsible for day-to-day diary management with both internal and external stakeholders and to support with prioritisation and time management for them to effectively lead and develop their teams. This is an amazing opportunity to work alongside an incredibly bright and down to earth team of people, with an excellent ethos and culture. This is a maternity contract for 12-15 months and looking for someone to start in March. Their offices are based in the City and offer hybrid working (3 days in office). Salary is offering between £55,000-£65,000 depending on experience. What you'll do: 
  • The day-to-day running and management of Directors' calendar and inbox
  • Managing meeting requests, internal and external, liaising with key stakeholders to ensure effective time management
  • Attending relevant meetings as required to take minutes, creating briefing notes, action points and organising relevant follow-ups
  • Creating and reviewing packs, presentation documents and any other materials, as required, for internal and external meetings.
  • Working closely with the EA to the CEO and across various teams to ensure cohesion across the organisation, having oversight of multiple strands of work to support effective time management
  • Support in setting up and embedding administrative practices to support the teams in delivering company's strategy
  • Coordinating travel arrangements where necessary, nationally and internationally, as well as preparing itineraries, planning and managing logistics
  • Working with the wider Operations Team to support with team events, socials, and travel coordination
  • Working closely with our external IT support on ordering and setting up tech equipment for the team
  • Managing the relationship with the building management team to ensure the smooth running of office facilities, as well ensuring all meeting rooms are set up with all necessary supplies for each meeting.
  • Purchasing office supplies
Who you are: 
  • Previous experience managing multiple diaries across different time zones.
  • Good knowledge of G-suite and Windows desktop computer applications (Word, Excel, PowerPoint etc).
  • A pragmatic and positive problem solver, with previous experience working in a fast-paced environment
  • Able to juggle conflicting priorities under pressure, with excellent organisation and time management skills
  • Possess strong attention to detail, reliability and the ability to take the initiative to get things done
  • At ease with ambiguity, able to manage different perspectives and styles, whilst managing task and workload
  • Able to maintain strict confidentiality and handle sensitive organisation and people matters
  • Excellent verbal and written communication skills, including the ability to communicate at Executive level and across the organisation
  • Flexibility of thought and time to manage multiple stakeholders, often in different time-zones
  • Strong and collaborative; a real team player who enjoys variety and working at pace in a high performing environment
