Location: Marylebone, 5 days a week in the office
Key Responsibilities- Administrative Support: Provide comprehensive administrative support to the CEO/Managing Director, including managing calendars, scheduling meetings, and handling correspondence.
- Communication: Act as the primary point of contact between the executive and internal/external stakeholders, ensuring clear and effective communication.
- Document Management: Prepare, review, and manage documents, reports, and presentations for meetings and other business activities.
- Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Travel Arrangements: Plan and coordinate travel itineraries, accommodations, and logistics for business trips.
- Project Management: Assist in managing and tracking various projects, ensuring deadlines are met and progress is communicated to relevant parties.
- Office Management: Oversee office operations, including ordering supplies, managing office equipment, and ensuring a well-organized work environment.
- Event Planning: Assist in planning and organizing company events, conferences, and other business functions.
- Financial Administration: Handle expense reports, invoices, and other financial documentation, ensuring accuracy and timely processing.
- Confidentiality: Maintain the highest level of confidentiality and discretion in handling sensitive information.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with all levels of the organization.
- Organizational Skills: Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities.
