A prestigious Investment Management company are seeking a highly skilled Executive Assistant to provide comprehensive administrative support to a C-Suite executive and his direct team.

This pivotal role demands a candidate with exceptional attention to detail, a minimum of five years of experience as an Executive Assistant, and at least three consecutive years supporting senior executives in private equity/investment banking/investment management/Asset managemement.

Hours: 8:30am-6pm (can leave early on quiet days)

Hybrid working format: 1-day WFH

Location: London

Key Responsibilities

  • Calendar Management: Skillfully manage complex and accurate calendar scheduling across multiple time zones for internal/external meetings and Teams conference calls.
  • Travel Coordination: Organize international and domestic travel using platforms such as Reed & Mackay, including flights, accommodation, airport transfers, and comprehensive travel itineraries.
  • Meeting and Event Planning: Coordinate on-site and off-site meetings, as well as occasional event planning duties.
  • Communication Management: Handle incoming calls and messages efficiently, ensuring timely follow-ups.
  • Visa and Travel Documentation: Process visa requests and manage international travel documentation requirements.
  • Expense and Invoice Management: Manage weekly expenses and invoices using systems like Concur with accuracy and timeliness.
  • Presentation Support: Assist with creating PowerPoint presentations and preparing meeting materials.
  • Team Collaboration: Act as a liaison between the executive and internal/external stakeholders to ensure seamless communication.
  • Administrative Projects: Support ad-hoc office projects in collaboration with the broader administrative team.
