The Role
As an Executive Assistant, you will be responsible for supporting the Executive Team, ensuring seamless operations across administrative, operational, and logistical functions. Key responsibilities include:
- Project oversight and administrative support - Coordinating ongoing projects and ensuring deadlines are met.
- Board meeting preparation - Assisting with the preparation, review, and distribution of board packs and supporting documents.
- Meeting attendance and minute-taking - Recording discussions, decisions, and action points, ensuring follow-ups are actioned.
- Documentation and contract management - Assisting in drafting policies and supporting contract reviews.
- Meeting coordination - Scheduling internal and external meetings, including interview arrangements.
- Project and special initiatives support - Conducting research and assisting with materials for key projects.
- Travel arrangements - Managing bookings and detailed itineraries.
- Daily office operations - Handling courier services, deliveries, and telephone communications.
- Record-keeping - Implementing an efficient document filing and archiving system.
- Correspondence handling - Managing incoming and outgoing mail.
- Client and visitor reception - Providing a professional first point of contact for visitors.
- Employee onboarding - Supporting new employee integration, including IT setup and itinerary coordination.
