Description

Personal Assistant:

  • Proactive management of mail, enquiries, telephone calls, e-mail, using initiative when referring upwards and flagging issues
  • Diary management, forward planning of events and specific projects
  • Preparing agendas, support papers and taking minutes for meetings
  • Drafting letters and documents as requested
  • Uphold the security and confidentiality of the documentation in accordance with GDPR
  • Arranging visits in connection with ongoing works
  • Liaising with both architects and parishes for Inspections
  • Liaison with and between Area staff members and others, setting up meetings
  • Organising arrangements for Visitations including writing Visitation reports, distribution of, and receipt of Church Wardens Citations and Declarations
  • Tracking the budget, including ordering stationary supplies
  • Manage the Discretionary Fund with oversight by the line manager
  • Undertake appropriate safeguarding training and know when to refer calls to the Safeguarding Team

Profile

Personal Assistant:

  • Must have PA experience or similar duties under a similar job title
  • Able to forward plan, manage diaries and mitigate risk
  • Minute taking skills essential
  • Able to manage budgets and track costs
  • Excellent administrative & IT (MS Office) skills
  • Able to align with the organisations value
