We are looking for an experienced, strong PA for our Associate Director of Property Management.

The large Property Management department consists of the Associate director who is Head of Property Management, 10 Property Managers and 3 Account assistants.

The Role:

As PA to the Director of Property Management, you will have dual responsibilities of supporting the Head of Property Management and providing administrative support to the Property Management Department.

The role is suitable for an experienced Personal Assistant, who has a desire to support the growth of the team, helping the day-to-day management as well as the long term development of the department.

Key Responsibilities:

  • ï‚· Diary Management: Overseeing the daily schedule and appointments for the Associate Director.
  • ï‚· Workflow Monitoring: Ensuring the property management team’s tasks are progressing efficiently.
  • ï‚· Reporting: Generating and managing reports in Excel and property management software for internal and external clients.
  • Meeting Coordination: Taking minutes and distributing them in a timely manner.
  • Compliance Oversight: Keeping property portfolios compliant with regulations and booking in works with contractors/tenants and landlords
  • Deposit Management: Registering and releasing property deposits.
  • ï‚· Contractor Onboarding: Setting up new contractors on internal systems and verifying their compliance documentation.

Requirements:

Experience as a PA in a fast paced work environment

  • ï‚· High level of knowledge of Excel and other office packages
  • ï‚· Detail-oriented
  • ï‚· Ability to manage conflicts while focusing on the crucial issues
  • ï‚· Excellent communication skills, both verbally in in written
  • The role is based in Finchley Central - Head Office, Monday to Friday, 9am to 5.30pm.
