- Diary and Schedule Management: Organise and manage international meetings, ensuring the team’s diaries are up-to-date and conflicts are minimised.
- Expense Management: Prepare monthly expense reports and maintain up-to-date records of all invoices and payments.
- Conference and Meeting Coordination: Book and manage meetings and ensure team members are reminded of important deadlines.
- Travel Arrangements: Coordinate extensive international travel logistics for the investment and marketing teams, including transportation, accommodation, visas, and other necessary documentation.
- Record Keeping: Maintain accurate and detailed records of all travel arrangements and associated costs. Manage and maintain both paper and electronic filing systems, ensuring documents are easily accessible and well-organized.
- Event Coordination: Work closely with the Office Manager to organise company events, including venue selection and budget management.
- Office Manager Support: Provide backup support to the Office Manager as needed.
- 5+ years experience as a PA/EA.
- Extremely experienced with heavy and complex travel.
- Excellent communicator, especially dealing with different personalities within the team. Â
- Proven ability to handle sensitive information with discretion and maintain confidentiality.
- Exceptional organisational skills with the ability to think proactively, prioritize tasks, and manage time effectively.
