A fantastic opportunity to work for an investment firm, providing high-level, confidential administrative support to the investment team. The main duty of this role will be complex travel for a team of 6, as well as managing complex diaries and handling various ad hoc assignments. The role also involves proactively identifying and implementing more efficient support methods to streamline the workload of the investment team.WHAT YOU’LL DO:
  • Diary and Schedule Management: Organise and manage international meetings, ensuring the team’s diaries are up-to-date and conflicts are minimised.
  • Expense Management: Prepare monthly expense reports and maintain up-to-date records of all invoices and payments.
  • Conference and Meeting Coordination: Book and manage meetings and ensure team members are reminded of important deadlines.
  • Travel Arrangements: Coordinate extensive international travel logistics for the investment and marketing teams, including transportation, accommodation, visas, and other necessary documentation.
  • Record Keeping: Maintain accurate and detailed records of all travel arrangements and associated costs. Manage and maintain both paper and electronic filing systems, ensuring documents are easily accessible and well-organized.
  • Event Coordination: Work closely with the Office Manager to organise company events, including venue selection and budget management.
  • Office Manager Support: Provide backup support to the Office Manager as needed.
WHO YOU ARE:
  • 5+ years experience as a PA/EA.
  • Extremely experienced with heavy and complex travel.
  • Excellent communicator, especially dealing with different personalities within the team.  
  • Proven ability to handle sensitive information with discretion and maintain confidentiality.
  • Exceptional organisational skills with the ability to think proactively, prioritize tasks, and manage time effectively.
  • Strong attention to Detail.
