Temporary Personal Assistant

We are seeking a Temporary Personal Assistant to join an exceptional educational establishment in West London.

Reporting to the Deputy Head, this role offers an immediate start with a duration of 3 to 6 months, potentially extending based on performance and interest.

Day-to-day of the role:

  • Diary Management: Efficiently manage the Deputy Head's diary, including scheduling appointments and arranging meetings with parents, Assistant Heads, and Heads of Year.
  • Event Coordination: Assist in organising parent evenings and other school events as needed.
  • Meeting Coordination: Take minutes at pastoral meetings and prepare reports for Heads of Years on merits, notices, and detentions.
  • Document Preparation: Support Heads of Year by proofreading and administering term reports.
  • Communication: Liaise with parents, staff at all levels, including the nurse and sports administrator, and outside agencies to ensure smooth operation.
  • Filing and Record Keeping: Maintain accurate and organised files for all paperwork and pupil records.
  • General Administrative Support: Perform additional duties as directed by the Deputy Head or Senior Management.

Required Skills & Qualifications:

  • Secretarial and Administrative Skills: Excellent secretarial, organisational, and administrative skills are essential.
  • IT Proficiency: Knowledge of Microsoft Word and Excel. Familiarity with Google and ISAMs is advantageous.
  • Attention to Detail: High level of attention to detail.
  • Communication Skills: Excellent standard of written and spoken English and an excellent telephone manner, with the ability to deal sensitively and tactfully with parents.
  • Independence: Ability to work effectively without close supervision.
